Exchanges Exams 2025 | Information

Want to live abroad for a month? To be trained in medical research? To be part of a clinic in a different healthcare system? To learn a new country and experience its culture?

What opportunities are there?

HelMSIC, as part of its activities through the IFMSA (International Federation of Medical Students’ Associations) network, organizes the Professional & Research Exchanges program, giving the opportunity to medical students to spend a whole month in a foreign country, doing a clinical or research internship respectively.

Who can take part?

Any student can participate by taking the online English proficiency exam by registering in the form at the end of this article! Students of all years can apply for Research Exchanges and all 3rd year students and above can apply for Clinical Exchanges. However, beyond the individual going on exchange there are many other ways to actively engage with the programme!

How and when will the exams take place?

The exam will be held on Friday, October 31 at 18:00, with physical attendance in your university’s auditoriums and via the online platform exchanges.ifmsa.gr. Information on how to register and participate through the platform can be found in the “How can I participate?” section.

What is the cost of participation?

The Participation Fee is 5€.

Frequently Asked Questions

Any 1st and 2nd year student can apply for a place for an exchange of research type only.

Any student from 3rd year and above can claim a place of either research or clinical type or both types. All students can participate as Contact Persons or Hosts, supporting and hosting respectively the students from abroad who carry out their exchange in Greece. 

To participate follow the steps below:

  1. Register (sign in) on the platform by 20/10.

To create an account/register on the platform, you will need to fill in your personal information, as well as upload a photo of your academic ID (student pass) indicating the year of your admission to the Medical School.

* It is noted that accounts created after the deadline will not be able to participate in the exchange exams for this year.

  1. After creating your account, your information will be verified and you will be granted access to the platform. In case of an error, you will have the opportunity to correct the information until 23/10.

The earlier you register, the faster it will be verified and you will be ready to proceed to the next step!

Register for the Exchange Exam via the platform by 25/10

    1. First, make sure you have read the instructions on the platform’s home page and the Exchange Conditions for the countries you are interested in for clinical or research exchange.
    2. Pay the exam fee (5€) via deposit to the HelMSIC account in Piraeus and download the deposit receipt in pdf. The following are highlighted:
      1. The deposit needs to be made from a browser and not from the bank application, so that the receipt can be downloaded in pdf. 
      2. It is not possible to deposit cash at the HelMSIC offices.
      3. The participant is charged with all transfer costs of both banks, depositing the full amount of his participation (5€). In case of transfer from Revolut, the participant should deposit 4 euros for the back cost, whereas in case of transfer from banks other than Piraeus, the participant should deposit 1.4 euros for the bank transfer.

Fill out the registration form via the platform.

Here you can access the signed contracts for this year, both for the professional and the research exchanges. 

4. After you register, the deposit slip you have uploaded will be checked. In case of an error, you will have the opportunity to re-deposit/top up the amount within a specified period of time until 29/10.

5. On October 31st, come to your school’s auditorium, log in to the platform with your codes and claim a research or clinical exchange contract! You must have the following with you:

    1. Your laptop or tablet
    2. Your academic ID (student pass)

Participants are tested in C1 (advanced) level English with 100 questions targeting vocabulary, grammar and medical terminology vocabulary. The questions will take the form of multiple choice.

The papers are automatically corrected through the platform and depending on the grade in the exam and the extra points of each participant, the contracts are distributed to the successful candidates. 

70% of your grade is derived from your grade in the English Language exam. The remaining 30% relates to some extra reward points that you can receive if you have been a Contact Person or if you have hosted an incoming medical student in the previous year. Also, points are added to participants depending on their year of study.

The clinical and research exchange program is bilateral, which means that for every medical student from Greece who goes on exchange we accept one medical student from abroad to do his/her exchange in our country!

During the period that these students are in our country (incomings), there are contact persons who guide them, pick them up from the point of the city where they arrive (station/airport etc.), introduce them to the professor in charge of the clinic or laboratory and show them around the city! In short, CPs are students studying at a medical school in Greece and help medical students from all over the world in their adaptation to the city, gaining knowledge, experience, friends and extra points for the Exchange Exams.

During the exchange period, a student from Greece can host a student from abroad and fully experience another culture, practice your English while experiencing the experience of living together. Thus, the incoming student will have the opportunity to experience first-hand the Greek hospitality and feel welcomed in our country. 

Congratulations! An exchange month in a foreign country is waiting for you! But before you get there, there are some steps that need to be taken first:

  • Accepting your place and paying the exchange fee

If you win a Clinical or Research Exchange contract, you will be notified by email of the successful country and the steps involved. You must confirm your participation in the program and then the fee deposit must be made. This fee is used to cover accommodation and food (1-2 meals per day) in the month of your exchange. It amounts to 300€ and includes a 10€ deposit, which is refundable if you successfully complete your exchange.

  • Signing of Private Agreement & Pre Exchange Training 1

In order to ensure smoothness in the process leading up to the exchange and mutual understanding, you will need to sign a Private Agreement to accept the terms of your exchange, and you can also attend a Training session to help you better understand and prepare for the unique experience that awaits you!

  • Send the Application Form and the necessary documents

In order to be accepted for your exchange, you will need to send an application form up to 4 months before your exchange with your preferred universities and clinical/research programs, as well as the month you want to do your exchange. This application is accompanied by some documents such as an English language certificate, a certificate of studies, etc. You can find the necessary documents and the conditions that must be met for your exchange in the Exchange Conditions and it is very important to check them before proceeding to next steps.

  • Card of Acceptance Document

It is sent up to 2 months before the exchange by the host country and includes all the necessary information such as city, university, food, accommodation and contact person details.

  • Pre Exchange Training 2

This is a peer training course to be held in April to prepare students for the final steps before their exchange, cultural differences, communication style and code of conduct they may encounter in the country they will be travelling to. 

  • Send Confirmation Document

The student confirms 1 month in advance that they will normally carry out their exchange, informing the Local Committee in the host country of their arrival and departure details.

  • Evaluation & Feedback

Upon your return, it is important that you complete an evaluation of the program as well as provide us with qualitative feedback on how your experience went. Through this we improve and can provide a program that is constantly evolving and offers more and better quality mobility opportunities!

Throughout your preparation before your exchange, our Local Exchange Managers will be available for anything you need, reminding you of the steps involved and resolving your questions whenever they arise. 

Maybe you haven’t taken a contract yet! In the period following the first allocation of contracts, there are students who cancel their participation in the exchange program and therefore, the place is given to a candidate who did not get a place the 1st time! You are among the runners-up, so don’t forget to check your emails regularly for updates.

After the announcement of the results, successful players can confirm or reject without further commitment the contract they have won within a period ranging from 1 week to 10 days. After depositing the Fee and signing the Private Agreement, the student can cancel the exchange at any time and a refund will only be made if a replacement is found after a call to the runners-up. In case of substitution, if the cancellation is made before 15/02 the full amount is refunded, up to one week after the receipt of the registration form ¾ of the amount is refunded and after this period ½ of the amount is refunded. If no replacement is found, no part of the amount will be refunded. In case of cancellation of the place by the international organisation, without the student having taken any action contrary to the private agreement, the full amount will be refunded. 

Cancellation of exchange 

Each organisation is responsible for the reception of students who will carry out an exchange in its country, and therefore also for students from our country who will carry out their exchange there. In case the host country cancels students from our country, if the epidemiological situation of the country does not allow the realisation of a mobility program, then the respective organisation will inform HelMSIC or the student himself/herself and the full fee will be refunded. In addition, if the student’s travel to the country of exchange is not possible due to restrictions on cross-border travel, a full refund of the fee will also be made. If for any other reason, the student wishes to cancel his/her exchange, the cancellation policy described above will apply.

As a reminder, any student may cancel his/her participation at any time, but will not be able to claim any other exchange place for the current year.
